Section 1 - The Committee

Subsection 1 - Terms of office
Committee members serve until they die, resign, or are removed. Committee members are added by unanimous consent among the existing Committee members, and must be tenured members of the organization.

Subsection 2 - Duties
President - The President is primarily responsible for coordinating all aspects of planning and holding Super Prom. The President is also responsible for maintaining the list of members, notifying members of meetings and other news, and running meetings. The President is jointly responsible with the Chief of Operations for making all financial decisions.

Chief of Operations (CoO) - The CoO is responsible for assisting the President in coordinating all aspects of planning and holding Super Prom. The CoO is primarily responsible for making invitations to Super Prom, and preparing all materials needed to support Super Prom. The CoO is jointly responsible with the President for making all financial decisions, but is primarily responsible for keeping record of finances.

Other Committee Members - The other Committee members are responsible for assisting and advising the President and Chief of Operations in all aspects of planning and holding Super Prom.

All Committee members are responsible for spreading knowledge of Super Prom, suggesting new persons for membership, and showing and spreading enthusiasm about Super Prom. The Committee must unanimously agree on the time, date and location of Super Prom.

Subsection 3: Removal
A Committee member can be removed by unanimous agreement among the other Committee members, provided there are at least three other Committee members. In addition, a Committee member can be removed if a majority of all tenured members sign a letter asking for his or her removal.

Subsection 4: Filling Vacancies
If a vacancy exists in one of the four required positions, the other Committee members must choose a replacement within 30 days. If the vacancy is for the positions of President or Chief of Operations, then the Committee can only choose a temporary replacement. At the next general meeting, the temporary President or Chief of Operations must be approved and made permanent by a majority vote. If the temporary Committee member is not approved, the other Committee members must choose a new replacement at the same meeting, who is approved by majority vote.

If all Committee positions become vacant, a majority of all tenured members must agree on a new President within 60 days. The new President must then choose a temporary Chief of Operations, and the President and temporary Chief of Operations must then choose two additional Committee members. The temporary Chief of Operations will need to be approved at the next general meeting. If a new President is not chosen within 60 days after all Committee positions become vacant, the organization is dissolved.

Section 2 - Members
There are two classifications of regular members, tenured members, and non tenured members. A member has tenure after attending two consecutive Super Proms as a regular member. A member loses tenure after missing three consecutive Super Proms, or after one year without contact with the Committee.

Membership is open between the months of November and May. During this time:

In May or June, invitations to Super Prom will be sent to all members in good standing. To be in good standing, a member must not be on suspension, and must have provided the Committee with a current address, and any other information the Committee requests. The Committee will make such requests via email or phone. Members are responsible for providing the Committee with a current email address and/or phone number.

Members receiving an invitation may attend Super Prom if the member pays the required fee. Members may each bring one guest, if the member pays double the required fee. After the invitations are sent out, the Committee, by majority vote, can invite additional persons. Such persons are considered temporary members, not regular members, and must pay the required fee.

Section 3 - Meetings
A general meeting will be held every November, which all members may attend. The President will notify all members of the time and place of the meeting at least one week in advance. The number of members attending the November meeting is always considered a quorum.

The President may call additional general meetings by notifying all members at least two weeks in advance. A quorum exists at these additional meetings if one fifth of the members are present or voting by proxy.

Members unable to attend a meeting may vote by proxy on issues. The president, when announcing the meeting shall list the issues to be voted on during the meeting, and shall provide instructions on how to submit proxy votes. Proxy votes shall count towards quorum.

Section 4 - Finances

Subsection 1: Income
Income is received in the form of member fees. At the November meeting, a minimum fee will be determined, by majority vote, to attend the following Super Prom. Additional fees may also be determined, by majority vote, for members who wish to receive benefits beyond what is covered by the minimum fee.

At a subsequent meeting, the fee may be raised if necessary by a vote of two-thirds of the members present or voting by proxy. The Committee, by unanimous vote, can lower the fee at any time between when the fee is estabished and when the invitations are sent out if the fee is realized to be too high.

To attend Super Prom, members must pay the minimum fee. Members may give more than the minimum fee if they wish. The Committee, by majority vote, may waive, or reduce, a member's fee under special circumstances, such as in exchange for goods or services a member provides in support of Super Prom. The Committee can not waive or reduce the fee of a Committee member.

Excess funds may be invested to receive additional income. Such investments must be approved by the President and the Chief of Operations.

Subsection 2: Expenses
All expenditures must be approved by the President and Chief of Operations. All expenditures must be related to planning, preparing for, and holding Super Prom, including encouraging Super Prom attendance, and purchasing prizes given away during Super Prom. However, any prizes valued over $100 per individual can only be for contests approved by majority vote at a general meeting. The President and Chief of Operations may keep expenditures secret in order to allow for surprise events to occur during Super Prom. However, the President must send a list of all income and expenditures to all members within 30 days after Super Prom.

Subsection 3: Dissolution
Should the organization dissolve, the organization's funds shall be distributed to charities (501(c)(3) organizations) chosen by the most recent Chief of Operations.
